Rules and Agreement
  • When reserving a trip with NOMAD | OUTDOOR DIVISION, you agree to the terms outlined in this agreement, both on your behalf and on behalf of any individuals listed in your booking. You also authorise us to provide services for all travellers. These terms and conditions constitute the complete understanding and agreement between you, the traveller (“you” or “you're”), and NOD regarding any bookings, reservations or transactions made with NOD. By accepting this Agreement, you also acknowledge your acceptance of our Road Trip Rules. Please read them carefully, as they affect your rights and liabilities under the law. By using the site and/or registering, you agree to these Terms and Conditions and our Privacy Policy.

    These Terms and Conditions govern your use of the www.nomad-outdoor-division.com website, the terms of any purchases that you make, and your relationship with Nomad - Outdoor Division ("Nomad", "NOD", "www.nomad-outdoor-division.com", "we" or "us").

    In these Terms and Conditions, "I," "you," "my," and "your" refer to the participant and/or the participant’s Parent/Legal Guardian. The expression "you/your" includes customers using the nomad-outdoor-division.com site (the "Customers"). References in these Terms and Conditions to "you" (or similar) refer to you as an individual or legal entity, as the case may be.
  • EnrollmentTo make a reservation, please use our online reservation system. In order to secure your booking, you must pay the total cost of the trip. Once we receive your wire transfer, we will confirm your reservation by email.
    Please note that each teen must be independent and in a condition compatible with travel, the activities offered, and living in a group. If your teen has a severe allergy, a disability, or a serious health problem, you must indicate this when registering on the medical form.
  • Tours AcceptanceNOD serves teens from all countries. NOD doesn’t discriminate in admissions policies based on race, colour, gender identity or expression, religion, national or ethnic origin, sexual orientation, age or disability. NOD is not a tour for those with severe mental, physical or emotional difficulties. Our areas of expertise do not extend to handling behavioural, emotional, psychological, motivational, rehabilitation issues, or eating disorders. You agree mandatorily to inform NOD in writing, before, of your child’s current or past history of counselling and/or psychological or similar therapy for behaviour issues or behaviour modification. You understand that you have a continuing obligation to inform NOD in writing of any new instance of counselling or treatment occurring after NOD’s receipt of this Application but before the tour departure. NOD reserves the right to request additional medical information for the safe operation of the tours and to refuse admission in appropriate cases due to safety concerns. Any refusal or removal of a participant for conditions that were not disclosed or insufficiently disclosed will be without refund.
  • PricesAll Prices are in UAE AED (VAT included) and subject to change without prior notice. Prices quoted are subject to availability at the time of confirmation.
  • Travel arrangements and rulesYou authorise NOD and its representatives to make arrangements, accommodations, rules and regulations they may deem advisable, at their discretion, for the well-being and welfare of all participants. Participants are expected to comply with all NOD rules and regulations and the applicable laws and regulations of all places visited. Where NOD rules are stricter than the local law, for example, regarding the use of marijuana or alcohol, the NOD rules apply. NOD reserves the right to dismiss any participant from the tours that staff believes, in their discretion, presents a safety concern or medical risk, is disruptive, inappropriate, offensive, fails to follow NOD rules, or otherwise conducts themself in a manner detrimental to the tours. If the participant is dismissed or departs from the NOD tours for any reason, no refunds can be granted. No refund is given for unused tour features, whether because of the participant’s choice, bad weather or other reasons. You are responsible for all costs of early departure, including transportation, whether for medical reasons, dismissal, personal emergencies or otherwise. You agree to pay for any costs (including repair, replacement and cleaning fees) incurred by NOD or NOD’s suppliers for property damage, destruction or theft caused by participants while on the tours.
  • PaymentsPlease make payments via bank transfer only and ensure the payment is in AED. By booking, you agree to the payment and cancellation conditions. The expenses included and excluded in the trip prices are specified in the description of each stay. If the total payment is not received within 15 days of completing the online enrollment form, we reserve the right to consider the missed payment. In such a case, your spot will be assigned to the next eligible traveller on the waitlist. Please note that a non-refundable set-up fee of AED 1000 will be charged.
  • Cancellation or change of tours by NODIf our trip needs to be cancelled due to insufficient numbers or the content needs to be modified due to climate-related reasons, we will let you know at least 20 days before departure and give you an alternative solution. If our proposals need improvement, NOD will reimburse you in full for the amounts paid. Furthermore, if an activity listed in the catalogue cannot be conducted because of force majeure, we will offer you an equivalent activity of the same value.

    NOD reserves the right to cancel or change the tour's itinerary, location, dates or duration for any reason. NOD is not responsible for costs you incur in preparing for or as a result of a tour being altered or cancelled. We reserve the right to cancel, adjust, or modify any trip without prior notice for various reasons, including, but not limited to, ensuring the safety and comfort of our clients and circumstances of Force Majeure, as defined in this Agreement below.

    Please note that factors such as local conditions or unforeseen events, including but not limited to mechanical issues, flight cancellations, illnesses, labour disputes, weather conditions, border crossing issues, and other unforeseeable circumstances, may necessitate changes to amenities, accommodations, transportation, routes, schedules, and itineraries without prior notice. If the changes are due to our control, we will inform you at the earliest opportunity and offer you one or more of the following options at our discretion:

    a) Accept NOD's offer of a comparable replacement trip (subject to availability) b) Receive a refund of all monies paid to NOD, minus the non-refundable set-up fees, that can be transferred to any other trip of ours, any unrecoverable costs, including but not limited to deposits made to our suppliers, and other out-of-pocket expenses incurred in arranging your trip c) We deem any other reasonable option appropriate at our sole discretion.

    If you accept an offer for a replacement trip, please note that if the cost is lower than that of your original trip, you will receive a refund for the difference. If the cost of the replacement trip is equal to or higher than the cost of your original trip, you will be responsible for covering the price difference between the two trips. To accept the offer, please reply to the email with your confirmation and any necessary payment details.
  • Cancellation by the participant To cancel your booking, you must send a written notice via email to enrollment@nomad-outdoor-division.com. Just so you know – cancellation terms and refunds will be assessed for each person according to the schedule outlined in this section, based on the date we receive your written notification, not the date of your email.

    There are no exceptions to this cancellation and refund policy, even in cases involving adverse weather, civil unrest, personal, family, or medical emergencies, or any other circumstances beyond our control. So, we strongly recommend that you purchase trip cancellation and interruption insurance.

    We are happy to accept a change request. Suppose you decide not to participate in a program, whether due to government warnings or advisories, travel concerns, health-related fears, or any other reason, it will be regarded as a cancellation initiated by you. which prevents your participation in the program. In that case, NOD will try to help you reschedule your trip for later. However, the cancellation policy outlined here will be applicable if you cannot reschedule.

  • Tours not operating for reasons beyond NOD’s control (force majeure)Participants are required to provide a certificate of aquatic proficiency issued by a qualified instructor. Participants must demonstrate proficiency in swimming and be capable of handling themselves in water environments. All participants must wear appropriate safety equipment, including life jackets or personal flotation devices, as required by local regulations and the nature of the activity. Water activities may be subject to weather conditions. In the event of adverse weather, activities may be postponed or canceled for safety reasons. Participants must respect the natural environment and follow guidelines for minimizing environmental impact, including proper disposal of waste and avoiding damage to marine life and ecosystems. By participating in water activities, participants agree to abide by these conditions and accept responsibility for their own safety and well-being. Participants must adhere to their instructions at all times.
  • Tours and InclusionsPlease look at the website tour description for details and total tour costs. Payment covers the cost of lodging with shared occupancy, meals as indicated, ground transportation, group activities, and internal economic flights where indicated (flights other than to the tour’s starting point & from the ending point). Payment also covers the various services NOD performs throughout the tour and before departure to prepare for the tours. These services include researching, planning, scouting, and reserving the itinerary; hiring and training staff; and providing information to enrolled participants and their parents. NOD makes all reasonable efforts to keep the tours as they have been published; however, you agree that arranging travel requires flexibility and that the final itinerary may vary due to availability and factors beyond NOD’s control. In its sole discretion, NOD may adapt routes and schedules and substitute services such as hotels, destinations or activities of similar quality for any stated in the tours. For any activities that are missed or unused after departure due to no fault of NOD, NOD will try to replace them with one of similar quality but will issue no refunds for such missed activities. Although NOD does not expect to change published fees, NOD reserves the right to do so in the event of increased costs, including, but not limited to, increased fuel costs and/or currency exchange rates.
  • Exclusions & Additional CostsQuoted tour rates do not include travel insurance, costs associated with obtaining passports, visas, travel authorisations, or any required health testing before, during or after the tours, airport departure taxes, baggage fees, meals other than those indicated, including personal snacks, laundry, and activities not listed in the tours itinerary. You understand that NOD does not engage personnel qualified to provide participants with medical, dental, health or other similar care or services. Therefore, you agree to pay all costs and expenses incurred directly or indirectly by NOD for this care or other fees for the participant's well-being.
  • Unused ServicesWe do not issue refunds for any unused part of the trip, including early departures, late arrivals, involuntary removal from the program, or missed days on your itinerary, regardless of the cause. We adhere to a strict, non-negotiable policy.
    In case of illness, we do not offer refunds for any unused portion of the trip if you are quarantined or if a supplier refuses services due to the display of symptoms or a positive test result for an infectious disease. We are not responsible for refunds or compensation for any losses, damages, injuries, or any other issues if you contract an illness, disease, or sickness during the tour. Also, we are not liable for third-party denials of services, such as accommodations or transportation, because of your symptoms or positive test for an infectious disease. This includes situations where you may become infected with a virus like coronavirus at a hotel booked through us, be denied service at a hotel due to symptoms of an infectious illness such as cough or fever, be unable to board a plane to your destination or return home due to illness symptoms, or be required to self-quarantine, among other scenarios.
    Just so you know, no refunds will be issued for unused services, early departures, late arrivals, or missed days of your itinerary, regardless of the reason. Once the tour has commenced, no refunds will be granted. Not participating in the tour due to government advisories, travel fears, or similar concerns will be treated as a cancellation.
    In case of quarantine, government travel restrictions, or supplier refusal of services due to illness symptoms or positive test results, no refunds will be provided for any unused portion of your tour. Moreover, we will not be held liable for any illness, disease, or sickness you've contracted during your tour, nor for third-party refusals of services (e.g., lodging or transport) due to illness symptoms. Furthermore, suppose you cannot board a plane to or from your destination due to illness symptoms or self-quarantine requirements. In that case, we will not be held responsible for any resulting expenses or inconvenience.
  • Passports and VisasParticipants are responsible for complying with passport and visa requirements. Passports must be valid for international travel six months beyond your intended return date. (Sometimes, you will also need multiple consecutive blank visa pages within your passport). Airlines may deny boarding, and/or immigration officials may deny entry for passports that expire within six months of your intended return date. Unfortunately, NOD cannot be responsible for any additional costs you incur or for loss of time on the tours due to failure to comply with this requirement. Young people staying abroad will be entrusted with their identity papers and any other necessary documents throughout the trip. It is their responsibility to ensure they are not misplaced. If, unfortunately, your child could not return with the group following the loss or theft of their papers, the return costs (plane ticket, hotel nights, meals, etc.) incurred for your child and the leader who stayed with them would be entirely your responsibility.
  • Insurance RequirementsWe hope all our travellers can attend and complete their programs every time. Unfortunately, circumstances can cause you to cancel or interrupt your program. We know how disappointing it is to be forced to cancel or have an illness or injury interrupt your trip. We strongly recommend trip cancellation and interruption travel protection to minimise the emotional and financial strain these situations can bring. Every traveller must have adequate medical insurance. Please check with your health insurer about the coverage your policy provides while travelling away from home, especially if travelling outside the country. Please understand we cannot accept the responsibility of uninsured or underinsured trip members. Proper medical insurance is required for all our participants. All NOD travellers must provide evidence of international health insurance that covers the entire duration of the trip before the trip starts. This health insurance must encompass personal injury, medical treatment, repatriation, and evacuation expenses, including helicopter rescue and international air ambulance services. Additionally, we highly recommend travel insurance that includes trip cancellation coverage. If a NOD’s trip is cancelled, postponed, interrupted, or rescheduled for any reason, whether voluntarily by you or due to actions by NODs, trip cancellation insurance might be the only means to receive reimbursement for flights and other non-refundable expenses. It is your responsibility to comprehend the particulars of your travel insurance policy, ensuring it covers all optional and included activities listed in the trip itinerary and verifying the absence of exclusion clauses (e.g., air delays due to mechanical issues) that could restrict the coverage you may reasonably require. You are responsible for confirming your insurance policy details with your insurance provider to ensure compliance with all “NODs” requirements.
  • Health & ImmunizationsWhile NOD considers health conditions when selecting tour locations, we are not experts in assessing the need for vaccinations or determining other medical requirements for travel. NOD recommends that you seek advice from your physician for current immunisations and required medication before travelling overseas. These recommendations may change occasionally due to new viruses. You are responsible for ensuring that you are adequately vaccinated where specific countries, suppliers, partners, and/or NODs require. Please comply with such vaccination requirements to avoid additional costs or lost time on the tours, for which NOD cannot be held responsible. NOD reserves the right to implement specific vaccination requirements before departure in response to new viruses to join a tour.
    You are responsible for vaccinations, medication, and your well-being during and after the trip. In an emergency, NOD will take the necessary measures such as hospitalisation, consultation, surgical intervention, etc. We will advance medical costs that legal guardians must fully reimburse upon return from the stay against submission of the medical file. If your child has a severe health problem or disability, please inform us via the registration form. Although NOD welcomes all children, we reserve the right to avoid taking a young person whose health is not compatible with the stay. Participants must not have physical or mental conditions that endanger them or others or impact the trip's enjoyment. Please let us know of any pre-existing medical conditions when booking, as we may need a medical certificate. NOD enforces a drug and alcohol-free policy consumption. We reserve the right to deny participation or terminate trips for illegal drug, alcohol, or other substance use.
  • Allergies & IntolerancesNOD understands many participants have food allergies or intolerances. Our commitment is to the health and well-being of each participant; however, NOD cannot guarantee allergen-free meal settings or environments. NOD staff receive training to respond to allergic reactions and to contact emergency personnel if needed. However, we may travel to remote areas where emergency services may not be easily or readily accessible. Before enrollment, you should review participants' needs with NOD to determine if your child can self-manage their allergies or intolerances.
  • Conditions for Water ActivitiesParticipants must provide a certificate of aquatic proficiency issued by a qualified instructor. In adverse weather, activities may be postponed or cancelled for safety reasons. By participating in water activities, participants agree to abide by these conditions and accept responsibility for their safety and well-being. Participants must adhere to their instructions at all times.
  • Optional ActivitiesThroughout any NOD trip, you may have the opportunity to engage in activities or local events that are not part of the NOD standard trip package. The NOD must provide assurances regarding the safety or quality of these activities and events or the standards upheld by the independent operators who manage them. These activities may encompass but are not limited to, trips using vehicles, boats, or aircraft, guided or self-guided walks, surfing, fishing, hiking, swimming, zip-lining, and parasailing. Events may encompass, but are not limited to, local festivals, concerts, and organised gatherings. Please know that you acknowledge and agree that any assistance the NOD trip leader or staff provides to facilitate these optional activities is extended in good faith and without any representations or warranties. NOD neither sponsors nor endorses these activities or events and cannot be held responsible for any injuries or illnesses resulting from your participation. If you choose to participate in these activities or events, you do so willingly and should take appropriate precautions to ensure your safety. Also, you are responsible for making payment arrangements directly with the supplier or independent operators offering such activities, events, or services.
  • Lost, Stolen or Damaged PropertyNOD and its representatives shall not be responsible for a participant’s lost, stolen or damaged personal belongings. You agree to be responsible for paying for any damages caused by the participant.
  • Denial of ParticipationNOD retains the authority to refuse participation in the trip to any Traveler if, in the sole discretion of NOD, they are deemed unable to meet the demands and prerequisites of the trip activities, violate these terms, including our Code of Conduct, or exhibit behaviour or conduct that is unsuitable for group travel. While on the trip, NOD also holds the sole discretion to dismiss any individual it determines to be detracting from the enjoyment of the journey for others. The decision made by NOD or the tour leaders is conclusive in all matters that may jeopardise safety or disrupt the well-being of others. Any expenses incurred due to being removed from a trip or being denied participation are the responsibility of the individual involved.
  • Dismissal of a participantAll participants are to adopt appropriate behaviour that is compatible with community life. Suppose a young person behaves in a manner that jeopardises the smooth running of the stay, their safety or that of other participants, or in the event of a transgression of the law (theft, use of drugs, etc.). In that case, the legal representatives undertake to take all measures to ensure their return without delay and at their expense. The same applies if the young person leaves the stay during its course at his request and/or that of his parents, in agreement with the director of the stay.
  • Administrative formalitiesPlease ensure that all necessary travel documents are valid and in your possession throughout the trip. Most destinations require passports valid for at least another six months. Could you verify entry requirements with the relevant consulate or embassy? You are responsible for verifying and meeting all travel requirements, including vaccinations and visa requirements, and adhering to safety and security conditions at your destinations. NOD is not responsible for delays, changes, or cancellation costs due to incorrect or expired traveller documents. You are responsible for associated costs if you must cancel, delay, or reschedule your trip due to document issues.
  • Group compositionMaximum group sizes are listed on the NOD website, but NOD cannot guarantee the group composition, balanced gender ratios, or whether participants join independently or with friends.
  • Group LanguageOur group's decision to use English as the language is primarily based on convenience and practicality. While we may have members who speak different languages, English is a common ground for effective communication and understanding among all participants. It ensures that everyone can actively participate and contribute to discussions, activities, and collaborations without language barriers. Additionally, using English facilitates smoother coordination and organisation of group activities, making the overall experience more enjoyable and efficient for everyone involved.
  • AirflightsAny flights to and from the tours or for any flights within the tours that NOD books are subject to the carrier’s Terms and Conditions. In such cases, NOD acts only as a sales agent for the applicable air carrier, and the air carrier’s terms and conditions apply to purchasing and using the air travel ticket. Consult the carrier’s applicable terms and conditions of carriage for complete information. NOD is not responsible for changes in air itineraries or flight times. NOD cannot guarantee any seating requests nor be responsible for mileage credit involving airline loyalty tours.
  • Permission to photography and Images ReleaseYou authorise NOD to use any image, photo, video recording or testimonial of you or the participant in any manner it wants for advertising, display, publicity or other use without compensation.
    Media Creators have full ownership rights to the images captured during the trip. You can use these images for personal, non-commercial purposes, and you can credit the creator. NOD will capture images throughout the trip. We will have a perpetual, royalty-free license to use these images for promotional purposes only. We will never sell or license these images for commercial use.
    Please let us know if you want to avoid your person appearing in public photos.
  • PrivacyNOD values your privacy and assures that your personal information will never be sold or rented to a third party. By enrolling, you agree to receive tour-related communications from NOD, including text, email, or phone reminders. Also, you agree to NOD sharing your details with flight or accommodation companies if necessary.
  • Applicable law and venueBy using this Application and all other aspects of your and your child’s relationship with NOD, you agree to these conditions of sale. This includes your agreement to present any claims against NOD within 14 working days after the tour ends and to file any suit within three months of the incident. In any case, NOD shall not be liable for any damages other than compensatory damages. It's important to note that you expressly waive any right to punitive damages, understanding and accepting the limitations of NOD's liability. You also agree to pursue any claim you have against NOD individually and waive your right to serve as a representative, litigant, or in any other capacity and/or to participate as a member of a class of claimants (in a class action), in any lawsuit filed against us.
  • Complaints and ClaimsClaims, complaints, or reimbursement requests must be submitted with supporting documentation via email at customerhappiness@nomad-outdoor-division.com within 14 working days after trip completion.
  • LuggageLuggage weight limits are in place to ensure that travellers carry light bags, which can be burdensome during transit. By setting these limits, we aim to promote the comfort and safety of all passengers. Additionally, allowing for some weight allowance will enable travellers to bring back souvenirs or gifts within their baggage capacity. This ensures a smoother travel experience for everyone while still allowing for the enjoyment of collecting souvenirs from the trip. The trip's luggage weight limit is 20kg per bag. Exceeding the designated baggage weight limit will not be accommodated, and the participant will be charged fees. During the tour, passengers must take full responsibility for their personal belongings.
  • Travel Advisories & Personal ResponsibilityResearch your trip’s destinations. Choose a trip that matches your comfort and fitness level. Note that all our tours are itinerant. This could involve regular travel on foot and by public transport. Your choice must be thoughtful and motivated. Review all trip-related documents received from us promptly upon receipt. You must notify us of any inaccuracies within 30 days of receiving these documents. Failure to do so releases us from any errors in documentation. Failure to provide these signed documents before departure may result in us cancelling your booking, subject to the cancellation fees outlined in this agreement.
  • Seat Belt PolicyFor obvious safety reasons, wearing a seat belt in all vehicles we take is mandatory. Failure to comply with this rule by our terms and conditions will be considered a refusal to accept these conditions.
  • Limits on ResponsibilityWe may not change itineraries or delay trip commencement because you're not joining as planned.
  • Limitation of RemediesAccording to the applicable law, our sole remedy for defaults under this agreement is a refund of the trip cost. We are not liable for consequential damages.
  • SeverabilityIf any provision of these Terms & Conditions is so broad as to be unenforceable, such provision will be interpreted to be only so broad as is enforceable. The invalidity or unenforceability of any provision hereof will not affect the validity or enforceability of any other provision.
  • Updating of terms and conditionsWe may change these Terms and recommend checking the latest version on our website before we travel. We will always be sure to refer to the terms at your booking date.
  • MergerThis agreement is the final and complete agreement, superseding all previous negotiations and agreements.
